Position – Advanced Office Assistant
Job Location – Augusta, WI (on-site)

Employment Term – Direct Hire
Employment Type – Full-Time
Work Hours (Shift) – 8am to 4pm Monday through Friday (likely moving to 9am to 5pm in October or September)
Starting Pay – $18 to $25 per hour
Benefits – PTO: 40 hours PTO and 16 hours personal time after 6 months employment. 6 Paid holidays. No other benefits.
Required Education – High School Diploma or equivalent required, advanced schooling in accounting or bookkeeping preferred
Required Experience – Experience with QuickBooks Desktop required, experience with Microsoft Office Suite also required
This role is responsible for bookkeeping using QuickBooks Desktop, including managing accounts payable, receivable, and monthly reconciliations. The position also supports daily shipping coordination, morning order packing, and general office administration. As the role grows, responsibilities may expand to include website updates, ecommerce support, social media engagement, and customer service.
Responsibilities
- Maintain accurate financial records and perform daily bookkeeping tasks in QuickBooks Desktop
- Process invoices, manage vendor payments, and track customer payments
- Reconcile bank statements and assist with month-end financial close
- Assist with packing and organizing customer orders each morning
- Coordinate shipping logistics, including freight scheduling and distributor order fulfillment
- Support general office organization and administrative needs
- Update internal records and assist with filing and documentation
- Help keep inventory and supply areas organized
- Provide backup support for customer communication, both phone and email
- Participate in ongoing improvement projects or research tasks related to business growth
Qualifications
- Experience with QuickBooks Desktop required including previous bookkeeping or administrative experience
- Experience with Shipping/Receiving processes preferred
- Strong attention to detail and ability to identify errors or inconsistencies
- Confident using Microsoft Office tools (Excel, Word, Outlook)
- Comfortable managing multiple tasks and shifting priorities throughout the day
- Organized, self-motivated, and able to work independently
- Clear written and verbal communication skills
- Willingness to assist in hands-on tasks like order packing and shipping coordination
- Curiosity and initiative to learn new systems, tools, or business processes
- Previous experience in an office, administrative, or customer-facing sales role is a plus but not required
